Project Funding Initiative

Written and Financial Reporting Guidelines

The Internet Society (ISOC) requires that every Project Funding grantee, Chapter or Individual Member, submit a minimum of one (1) interim report for grant funds received or spent. In addition, a final report is required when the grant is completed, no later than 30 days after the conclusion of a Project. All reports have two sections, a written description and a financial statement. Both reports cover the same time period. The due dates for reports are specified in the Project’s Memorandum of Understanding (MoU) or have been established between the grantee and a member of the Project Funding Committee. Grantees should be aware that the release of subsequent payments for their Project is contingent upon the receipt and approval of the interim report(s). Late reports may result in the delayed payment of funds.

The written section should be in English. French or Spanish language will be accepted if English is not possible.

The financial section should show local and US $ currency values.

Guidelines for the Written Section

The written portion of reporting is an opportunity to describe both the achievements and challenges in a way that will help ISOC and the greater Internet community understand the complexities of the community the Project intends to benefit.

The written report need not be lengthy but should include all issues that are important to the Project’s completion.

Interim Reports should provide the following information:

  • A description of the activities undertaken by the Project during the reporting period
  • Discussion of the performance to date against the goals of the Project
  • Outcomes & Achievements
  • Lessons learned & Disappointments
  • Why there are any changes in the design of the Project and discuss the implications for future work
  • Any additional information that would be useful to the ISOC community for purposes of an interim report.

The completed written section must be submitted at the same time as the financial report (see below); electronic or hardcopies will be accepted.

Final Reports should provide the following information:

  • A brief overview of the entire Project
  • A description of the activities undertaken by the Project during the final reporting period & results
  • A list of publications and/or deliverables created and funded through the Project Funding Initiative, if applicable (copies are welcome)
  • The Project team’s evaluation on the impact of the Project in the community who was expected to benefit from the activities, including specific details and examples that verify the impact
  • Methods of disseminating the information gained from completing the Project to the wider Internet community
  • Ideas and suggestions on how the Project may be replicable and/or sustainable for continued community benefit
  • Any additional information that would be useful to ISOC or the wider Internet community for purposes of dissemination and knowledge sharing.

The completed written section must be submitted at the same time as the financial report (see below); electronic or hardcopies will be accepted.

Guidelines for the Financial Section

Please use the Financial Report Template (.XLS) to specify Project expenses for both interim & final reports. The completed template must be submitted at the same time as the written report; electronic or hardcopies will be accepted.

Report on ISOC funds only: the financial section should report on how the ISOC funds were spent to fulfill the award purpose only. As stipulated in the Project Funding overview, ISOC’s portion of the Project funds does not exceed 50% of the total cost and other partners/funding sources were expected to participate; these other funds should not be included in the ISOC interim or final reports.

Note Well: ISOC intends to make public information about Projects that are funded, particularly the outcome status and reports. This is done to disseminate the information about projects to the larger Internet community as well as encourage interested and eligible parties to apply for funding. ISOC aims to further its mission and goals as much as possible through the operation of the Project Funding Initiative. Final Project reports will be published in full, including contact points.
